What is Templafy?
Templafy is a cloud-based template and document asset management system. It integrates into Microsoft Office 2016-2019, Office 365 Pro Plus with 2016 Apps, SharePoint Online for Office 365 and Google Drive.
Templafy has a rich set of features to help users easily generate new documents that are up to date with regards to Visual Identity, Corporate data, User data, Legal information and shared content. Templafy can manage templates and document assets from a central admin platform which means it is easy for Brand and Managers and Content Administrators to update templates and push out new digital identities throughout the entire organization.
How does Templafy work?
Templafy can be used in two different ways: VSTO Add-Ins (PC) or Web Add-Ins (PC, MacBook and Office Online).
VSTO Add-Ins: these are software components developed to extend the functionality of Microsoft Office applications (Word, Excel, Outlook, PowerPoint). These are installed directly onto the user’s machine.
Web Add-Ins: these are software components that extend the functionality of Microsoft Office applications (Word, Excel, Outlook and PowerPoint) by embedding web-based functionalities directly into the applications leveraging a web-based interface within Office. These are hosted on a web service.
What modules are available in Templafy?

Templafy Library | Centralized storage for company document templates, content and digital assets. This module allows Admins and Owners to distribute content (templates and assets) to the users directly in their Office applications (Word, PowerPoint, Excel, and Outlook), in Google Workspace, through App Connectors and the WebApp. |
Validator | Automatic validation rules to ensure that presentation slides stay compliant for re-use. |
Dynamics | Dynamics is the underlying functionality Templafy uses to create smart templates. Smart templates allow for automation within documents to reduce maintenance for the admin and reduce the number of templates available to the end-user. By utilizing Dynamics, specific data, content, or user input can be injected into the smart templates in order to generate on-brand, legally compliant, and personalized documents. A smart template usually contains a basic design, formatting, a response form, a series of smart fields, and template settings and properties that will dynamically be populated. |
Email Signature Manager | Centralized brand and legal governance in every email signature. This module ensures that email signatures have a unified look and field for enterprise-wide use, supporting multiple signatures per user. |
ProductivityPlus | Advanced productivity tools to streamline the creation of PowerPoint presentations. This suite of tools offers functionalities aimed at making document creation, management and editing faster, such as for example by enforcing the use of corporate terminology as set by the Admin or Owner in the Admin Center, or surface brand approved colors in a task pane within the PowerPoint application. |
Check | Inspect format, layout and content compliance for every PowerPoint presentation created against up to 40 pre-defined rules to ensure that the document is up to professional standards. This module allows to get an overview of formatting, layout and content issues and to fix them directly from the Templafy task pane. |
Engage | Allows usersto securely share documents with recipients. The Engage module will enable users to increase the interaction with the recipients as well getting insights such as tracking performance and engagement analytics. Engage can be accessed through its web page or through Templafy Library. |
AI Assistant | Allows access to time-saving generative AI functionalities directly in the employee’s Office applications (Word, PowerPoint, Excel). This module also ensures that only company-approved prompts are used by end-users and that AI is managed in a safe and secure way. |
What integrations are available with Templafy?
Templafy is able to unify an organization’s entire content management IT infrastructures by integrating their external systems into their Templafy’s document workflows. These setups are what we refer to as Templafy Integrations.
In order to enable any of the available integrations, Templafy has created 4 different types of connectors where each one of them, addresses, or is used, in a specific part of the document workflow. In other words, connectors are the technical enablers for any integration to an external system to happen.
Templafy integrates to a myriad of external systems and differentiates between four types of connectors. Please refer to our Knowledge Base for more information regarding each connector.
How is user data handled by Templafy?
Templafy is typically used for standard, generic content such as contract templates and brand-compliant slide decks that users generate and further build on.
We mainly see user personal data in the form of work-related information and basic contact details, such as what an email signature would contain.
From a privacy perspective, it is possible to restrict and govern the processing; the control is with appropriate customer admins.
Templafy primarily processes customer employee data, who are users of the services. However, customer admins may choose to give access to partners or involve other data subjects should they wish. e.g. through the available integrations.

Why do our customers use the Templafy SaaS Agreement?
Our contract includes specific provisions essential for the effective use of our SaaS solution, which are often missing in standard customer forms. It ensures that all aspects of our services are clearly defined and protected to minimize the risk of misunderstandings or gaps in coverage. Our contract is designed to be fair and balanced, addressing the needs and concerns of both parties, which helps foster a positive business relationship. Using our pre-drafted contract can save you time and resources, allowing for a quicker and smoother onboarding process.
What is Templafy’s SLA?
We commit to industry standard uptime of 99.5% and a tiered support structure; our uptime monitoring tracker showing current and historical uptime is available here. Aa a multi-tenant SaaS solution, all of our customers are on the same version of the platform. We cannot customize our SLA as we would not be able to scale our operations without uniformity across our entire customer base.
Does Templafy provide an indemnity?
We offer an industry standard IP indemnity protection for your use of the software.
Does Templafy offer termination for convenience?
We offer standard rights to terminate for breach and bankruptcy. However, our pricing assumes fixed-term subscriptions, so we do not offer termination for convenience. Our pricing is based on a minimum committed term as we invest significant resources on the front-end of the contract to ensure successful deployment of the software.
Does Templafy offer user acceptance testing?
We believe in our software and back it with our top-of-the-line customer success and technical support teams. We can perform technical scoping with our solutions engineers to ensure your systems are compatible with our software before you make a purchase decision.
Does Templafy provide unlimited liability?
Templafy’s SaaS terms offer an equitable sharing of liability between the parties and the liability of each party should correlate directly to the value of the agreement between the parties. To achieve this goal, Templafy excludes indirect damages for both parties in all circumstances. In addition, Templafy’s mutual limitation of liability for direct damages in a contract is the fees paid by a customer in the twelve (12) months prior to the event giving rise to the liability. There are three exceptions to the direct damages limitation, namely: (i) either party’s fraud or willful misconduct, (ii) each party’s standard indemnification obligations, and (iii) breach of confidentiality.
