We spoke with Elizabeth Boudrie, Senior Vice President at Everest Group, about the needs of their growing team and how Templafy helped them establish a single source of truth in document and template management.

How were your teams managing documents before Templafy?
Our process for managing templates was fragmented and not very efficient. Before Templafy, we relied on PowerPoint add-ins and SharePoint, which made managing templates difficult. Teams often used outdated versions, leading to inconsistencies and inefficiencies.
This caused significant problems. With nearly 500 analysts generating thousands of reports and documents annually, and another 200 employees needing templates for sales and operations, we saw a lot of errors.
Another challenge was our reliance on IT to update templates. The process was slow and created bottlenecks, which impacted productivity. Sharing best-practice templates was equally difficult. Teams would often email documents back and forth, which meant that people had to dig through their inboxes to find the right file or, worse, recreate materials from scratch.
What kind of solution were you looking for?
We needed a tool that integrated easily with the tools we were already using, like PowerPoint, Word, and Outlook. It had to be easy for our teams to use and provide centralized access to the most up-to-date templates.
Templafy checked all those boxes and more. What really stood out was the centralized template and asset library. It ensured everyone could easily access the latest materials without switching to external systems like SharePoint.

What was implementation and rollout like?
The implementation process was fantastic, thanks to Templafy’s dedicated support team.
Our roll-out plan included a series of pre-launch teaser emails to generate excitement, which worked really well. Then, we held targeted training sessions for different teams, showing them exactly how Templafy would fit into their workflows. On top of that, we created short tutorial videos, which are still available and super helpful for ongoing training.
For me, this was the most complex rollout I’ve been a part of, but it was also the smoothest. The support from Templafy made it easy for us to replace old templates quickly and efficiently.

How is your team’s day-to-day work different now?

One additional, unexpected benefit has been Templafy’s integration with Outlook. We use a lot of email templates, including for webinar follow-ups. Before, the sales team had to manually share email templates through inboxes, which was time-consuming and prone to errors. Now, they just go to a central folder in Templafy and generate the correct version immediately. It’s streamlined our entire process and improved consistency.

What has surprised you most about Templafy?
Templafy has really opened up new opportunities for us. Beyond document creation, it’s streamlined our internal and external email workflows, which I didn’t initially expect.
